Job Description

DESSI International is currently working on SELF-HELP basis and successfully managing two learning centers at Larkana and Kamber Shahdadkot districts of Sindh, focusing on women empowerment through skill development. DESSI International has also established two applique arts and crafts outlets at Larkana for the direct market linkage/representation. At remote rural areas of Larkana and Kamber Shahdadkot districts of Sindh province, DESSI International has more than 200 women artisans enrolled who do routine applique arts & crafts work since last 5 years. DESSI International believes in participatory initiatives to offer/assist social causes and development projects with stakeholders mainly related to applique arts and crafts, education, women empowerment and social development sustainability.

Overall Role:

  • The main duty of Administrative Assistant is to ensure the smooth and efficient running of Women Empowerment Center, by undertaking a range of logistic, administrative, organizational and IT-related activities.
  • The Administrative Assistant works with the administration and academic team and shall utilize office service personnel (guards, cleaners, office boy) in completion of duties
  • The Administrative Assistant reports to the Principal
  • The Administrative Assistant is evaluated by the Principal

Main Duties and Responsibilities:

Inventory, Equipment

  • Ensure the general office consumables are used in an efficient manner
  • Ensure the safe storage and proper use of all center equipments
  • Monitor the flow of center equipments, carries out check-in & -out, handover and donation procedures
  • Follow damage reports, arranges repair or disposal, and organizes routine maintenance
  • Update newly purchased item to inventory follow-up and procurement file
  • Update monthly inventory and equipment reports

Office and Building Management

  • Ensure the efficient use of office space, designs and implements fixtures suitable to the center need in accordance with the instruction of the Principal
  • Organize basic maintenance (electricity, plumbing, sanitation, generator) as well as basic facilities (Internet and telephone services)
  • Ensure the safety and functioning of all building fixtures or facilities, contact landlords or workers for maintenance and repairs
  • Arrange the schedule of cleaners and guards in need of the center

Clerical Duties

  • Receive, direct and facilitate office visitors
  • Receive and transfer phone calls, post and distribute faxes, mails
  • Record and distribute staff weekly meeting agenda and minutes
  • Manages office petty cash and prepare small cash payments under the instruction of Principal

Job requirements:

  • University degree in administration or other relevant areas is preferred
  • Demonstrated experience and qualification in relevant areas can be acceptable
  • A minimum of 1-year experience in a similar position, particularly, in administration will be preferred
  • Knowledge of local market – goods and services, local transportation network is required
  • Knowledge of basic office IT (LAN, internet) is an asset
  • English fluency in oral and written will be plus
  • Problem-solving oriented
  • Ethical, responsible, enthusiastic
  • Strong negotiation skills
  • Strong organization skills
  • Ability to lead good interpersonal interactions with different people
  • Computer literate, particularly with Excel
