Coordinator Program Talent Management is an integral member of the program team, responsible for supporting program delivery through effective people-related functions. This role supports the implementation of the program by ensuring appropriate human resource planning, talent acquisition, personnel administration, and team engagement activities are aligned with program objectives and timelines. Reporting directly to the Program Director with a dotted line to the HR Director, this position ensures compliance with organizational policies while focusing on the program's unique people requirements and fostering a positive team environment conducive to achieving program deliverables.

Responsibilities:

  • Manage the recruitment process for project positions, ensuring full compliance with organizational procedures, and taking responsibility for drafting and finalizing position descriptions based on program requirements.
  • Oversee the effective use of the applicant tracking system, optimizing its functionality to streamline recruitment efforts and enhance efficiency.
  • Take charge of screening candidates and coordinating the selection process, including managing interviews and maintaining communication with relevant stakeholders.
  • Manage the onboarding process for new team members, coordinating IT setups, system access, and orientation sessions to ensure smooth integration into the program.
  • Support the background verification process for new hires, ensuring compliance with organizational policies.
  • Maintain accurate filing systems for program personnel records and documentation, ensuring all records are up to date and well-organized.
  • Oversee contract management for team members, including managing renewals, amendments, and ensuring proper documentation.
  • Provide ongoing administrative support for team operations, including tracking leave, monitoring attendance, and handling day-to-day personnel inquiries.
  • Collaborate with central HR functions to ensure statutory compliance and adherence to regulatory requirements for program personnel.
  • Prepare periodic HR MIS, recruitment status updates, and staffing dashboards as required.

Requirements:

  • Bachelor’s degree in Human Resources, Business Administration, Social Sciences, or a related field.
  • Minimum 2 years of experience in program/project support with focus on personnel administration or team coordination.
  • Experience working in development sector or not-for-profit organizations is an added advantage.
  • Demonstrated ability to support implementation of HR processes in program contexts.
  • Prior experience in coordinating recruitment activities and maintaining personnel documentation.
