About the Position

The Accountant will provide financial management and accounting support to Malawi Country Office and ensure organization assets are properly safeguarded by ensuring an effective system of internal controls and donor compliance. The position will support and back up the accounts manager in their absence. The incumbent will focus on:

Accounts payable and supplier oversight.

  • Accounts receivable (sales orders) & payroll/pension administration.
  • Banking and cash management.
  • Advance and liquidation management.
  • Month end closure.

The successful candidate have key responsibilities in the following areas:

  • Responsible for monthly financial books closing according to timetable, and financial reporting including timely and accurate preparation of monthly financial ledgers for review by the account’s manager.
  • Monitoring of cash advances and operating funds released to and liquidated by collaborating partners, workshop coordinators and staff. Ensure advances and liquidations are in accordance with WorldFish policies.
  • Manage Country office bank accounts, including all online portals, perform monthly bank reconciliations and ensure proper management of cash flows. Prepare monthly funds request for approval by the account’s manager. Act as bank liaison.
  • Preparation of all sales orders and management of the accounts receivable function.
  • Ensure the timely and accurate processing of all supplier invoices and oversight of the accounts payable function.
  • Prepare the monthly payroll and post in the OCS system. Ensure payment of all payroll related creditors and insurances.
  • Assist the Accounts Manager in the implementation of new finance systems, tools, policies, and processes and ensure compliant program and field operations.
  • Assist the Accounts Manager in the country office annual budget preparation, revision, and support proposal development processes.
  • Help to coordinate and respond to external and internal audits (related to banking, accounting, budget and finance), and ensure that all audit recommendations are followed up and implemented on a timely basis.
  • Oversight to ensure the proper maintenance of all finance files and their archiving.

Requirements

This job is open to Malawi Nationals with the following skills and qualifications:

  • Bachelor Degree in Accounting or Business. Membership (of any type) of a global accounting body welcomed.
  • Minimum 3 years’ relevant work experience ideally in a similar role – management exposure welcomed.
  • Excellent working knowledge of accounting processes and management.
  • Ability to work in a team and able to manage diversity and gender issues. The position holder must demonstrate that he/she is able to participate in decisions on a timely basis, set priorities, meet deadlines, and solve problems.
  • Some exposure to international accounting standards relating to project/program accounting and financial reporting would be advantageous.
  • Should be knowledgeable in local laws and regulations i.e., labour laws, business/contract law and tax legislation.
  • Good command of English (both verbal and written).
  • Strong sense of professionalism, business ethics and integrity.
  • Hands-on experience with reputable ERP systems such as Oracle, Agresso, SAP; and have working knowledge of Microsoft Office and Teams applications.
  • Ability to work under pressure and adhere to deadlines with minimum supervision.

Desired Skills and Qualifications

  • Experience with financial and accounting systems in international NGOs in Malawi.
