OVERVIEW OF THE POSITION

The position of Administrative Assistant is one of the project posts within a multidisciplinary team that will be stationed in Kurram Agency. This post will provide overall administrative support to the entire project team.

GENERAL FUNCTIONS

Role objective:

  1. Assist in organizing missions national/local government officials involved in the projects and make necessary arrangements, including venue, logistics and audio-visual equipment in coordination with the Project Team;

  2. Drafting and encoding routine correspondence and documents and make routine follow-up;

  3. Maintaining and keeping administrative files, logs, inventories and update records in prescribed format for subsequent use;

  4. Retrieving, researching and processing information from internal and external sources for or mission and humanitarian updates in accordance with the instructions received;

  5. Researching and collecting data and provide other information on development or any other subject matter related to the Project Coordinator needs in the preparation and formulation of the humanitarian response;

  6. Preparing background materials, working papers and tables as well as power point presentations for briefing, review session and meetings with staff, implementing partners and visiting missions;

  7. Maintaining and keeping current registers and action plans on the status of projects at the implementation and operational stages for humanitarian response monitoring;

  8. Perform other duties as may be required by the Project Coordinator;

Expected output:

Effective project delivery as per the job description of the assigned tasks.

Project reporting:

The position will report to the Project Coordinator.

Team management:

S/He has to be active team player who could contribute in overall team performance.

ESSENTIAL EXPERIENCE

Education:

§ Bachelor's degree in Administration or related field.

Work experience:

§ Minimum of 3 years of demonstrable relevant Healthcare experience.

Geographical experience:

§ Minimum of 3 years of experience in Middle East with local experience in Kurrum Agency-Fata is an advantage.

Languages:

§ Fluency in Pashto and English are essential.

Key competencies:

Administration, procurement management, time management, logistics and travel management, stress management, coordination.

Other relevant information:

Must be Pakistani citizen ideally from Kurrum Agency else holding FATA domicile

Detail: At least 3 years in community development work. Work experience in community mobilization is preferred.
