Job Description

About the position

Under the direct supervision of the Sahel Node Coordinator and direct functional reporting relationship to the WCA Human Resources & Administrative Manager

I. Administration

• Provide administrative services to the Sahel Node office
• Ensure the liaison with the administrative and public services with regards to official documentation, facilitation of renewal of administrative documents, residence permit for expatriate, immigration, external relations, ministries, etc.
• Supervise the administrative staff: drivers and office attendant
• Ensure proper vehicles management fleet
• Provide all required information to Auditors
• Translate official tactful documents

II. Procurement

• Follow the ICRAF Procurement Standard Operating Procedures for local and international procurement of good or services
• Work with the ICRAF’s transit company to manage the receipt and delivery of all shipments sent to the ICRAF’s attention
• Monitor and update the assets together with the Finance Service Unit
• Participate in the inventory of materials in collaboration with the Finance Service Unit
• Ensure the timely maintenance, proper management and use of Node equipment according to ICRAF procedures and policies
• Carry out any other tasks requested by the Sahel node coordinator or the supervisor.

Qualifications and experience

• Bachelor’s degree in Human Resources, Business Administration and/or Management;
• Minimum of 3 years of working experience in a similar environment providing administrative support to a team, preferably in an international organization Ability to build good working relationships with colleagues at all levels;
• Knowledge of an organization’s Administration systems and policies;
• Ability to demonstrate strong administrative skills;
• Mastery of computer (MS Office Word, Excel, PowerPoint, Publisher, etc.) and internet;
• A professional and flexible approach to work, with the ability to prioritize;
• Fairness and objectivity;
• Experience in delivering strong Customer service;
• Extensive team and organizational management experience;
• High level of accuracy and attention to detail;
• Good planning, organizational and analytical skills;
• Good written and oral communication skills (proficiency in both English and French);
• Good listening skills;
• Good interpersonal skills;
• Tact and discretion when dealing with people and confidential information;
• Ability to take initiative and think outside the box
• Affinity with research and development activities in the development and environment domain;
