The International Water Management Institute (IWMI), a CGIAR Research Center is looking for a competent, self-motivated, and dynamic candidate to join its Headquarters as Assistant Human Resources Officer.

Duties And Responsibilities

  • Assist in the coordination of IWMI’s internship and fellowship program, which includes managing the life cycle of interns from recruitment and hiring to departure from the organization.
  • Maintain accurate and up-to-date human resource files, records, databases and documentation for internship and fellowship programs of IWMI.
  • Provide answers to questions frequently asked by interns and hiring managers regarding policies and procedures in the HR department and refer more complex questions to appropriate senior-level HR staff or management.
  • Process payments, primarily related to internships, fellowships and clear commitments related to internships.
  • Perform periodic audits of internship and training files and records to ensure that all the required documents are collected and filed appropriately.
  • Provide various periodic and ad hoc reports related to internships and fellowships.
  • Entry of up-to-date data of internships and fellowships for Power BI reports and analysis.
  • Proactively manage requests and prioritize appropriately.
  • Performance Management and Capacity Development
  • Support IWMI’s training and Development activities and to maintain accurate and up to date information in the IWMI’s learning platform.
  • Maintain accurate and up-to-date records, databases and documentation for training and capacity development activities.
  • Process payments related to approved training and capacity development activities.
  • Assist in following up the completion of IWMI’s performance management process, including users of Tool - 2 and hosted staff.
  • Provide various periodic and ad hoc reports related to training.
  • Introduce systems and processes that increase efficiencies and continually improve the overall effectiveness of services.

General:

  • Provide clerical and administrative support to the HR department.
  • Provide support with HR communications in various publications and events.
  • Assist with the planning and execution of special events, such as organization-wide HR meetings, employee recognition events and other HR-related events.
  • Perform other duties as assigned.

Requirements:

Minimum Educational Qualifications And Experience:

  • Advanced Level qualification with a professional qualification in human resources management.
  • A bachelor’s degree in business or a related field is preferred.
  • Six months to two years of HR administrative experience in a demanding HR environment.
  • Experience in working with databases, generating reports and producing accurate information in the form of tables, spreadsheets and graphics.

  • Knowledge of human resources functions.

  • Service oriented with good interpersonal skills.
  • Ability to work independently and meet tight deadlines.
  • Excellent spoken and written communication skills in English.
  • Computer literacy and proficiency in using Microsoft Office software (Word, Excel, PowerPoint and Outlook).
  • Ability to handle sensitive and confidential information and situations with tact, professionalism and diplomacy.
