STANDARD MINIMUM QUALIFICATIONS:
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. Applicant with BA will be given priority
Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Knowledge & Skills:
- Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
- Knowledge of work routines and methods in order to complete processes under minimal supervision.
- Uses tact and courtesy to give and receive information to a wide range of individuals.
- Ability to identify data discrepancies and rectify problems requiring attention.
- Ability to offer guidance or basic on-the-job training to more junior staff.
Language: General Service (Headquarters): Fluency (level C) in English language. Fluency (level C) or intermediate knowledge (level B) of another official language may be required depending on the location of the post or area of responsibility.
General Service (Field): Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.
These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders may either perform administrative support functions in the front office and report to the Business Support Associate, or provide administrative support to team(s) with the reporting line to the relevant Head of Unit, Chief, or the designate. In cases where these positions support a specific business stream, the reporting line may be to the relevant Head of Unit, Chief, or the designate.
At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.

KEY ACCOUNTABILITIES (not all-inclusive):
- Maintain the planned movements and distribution of food or non-food items, reporting issues or discrepancies to the supervisor for timely resolution of problems and to ensure that the quantity distributed, and the quality of the operation is in line with WFP standards.
- Maintain information records and monitoring plan documentation, such as records of commodity movements and programme checklists, in order to assist in the effective delivery and distribution of food items or non-food items.
- Collate assistance programme(s) data in accordance with clear direction, in order to support programme reviews and informative decision-making.
- Assist the Officer in liaising with cooperating partners and internal counterparts to gather feedback and comments to support programme reviews and improve services.
- Receive and collate comments and feedback from cooperating partners, beneficiaries, and beneficiaries, to support identifying programmatic issues with a view to fostering efficient operations.
- Receive payment requests from partners and process them.
- Record School Feeding data on WFP COMET system.
- perform required actions on WFP systems to register partner activities and payments.
- Support cooperating partners with WFP operational practices, monitoring tools and methods in order to support them to complete self-monitoring tasks and to contribute to the visibility of WFP in the coverage areas.
- Prepare field mission reports to document programme implementation.
- Follow set emergency response processes and procedures for emergency food assistance.
- Assist in facilitatating correspondence with external/internal parties. Responds to queries and provides accurate information. Follows up on behalf of supervisor on actions taken by other team members. Takes independent and substantive action to process materials received to relevant individuals in the team. Receives visitors and answers telephone directing callers to appropriate staff.
- Assist with producing files, graphs, charts and tables ensuring appropriateness of presentation, format and accuracy of data for use by others in preparing reports, correspondence, technical papers, projects and/or programme plans and general reference documents.
- Maintain and updates office records and reference files related to the work and individuals of the unit.
- Performs other administrative duties, as required.
