Based in Rome, Italy and under the supervision and guidance of the Evaluation Function Lead, the Temporary Assistant II will provide operational support to the Science Group Cluster Evaluation project. The incumbent will work in close collaboration with the other IAES functions, in particular the administration and finance team. Key Responsibilities: More specifically, the Temporary Assistant II will:
Prepare contracting documents for evaluation consultants.
Check Evaluation Function email inbox regularly.
Assist in group meeting/event preparation, execution, and documentation preparation.
Take notes during meetings and edit transcriptions.
Liaise with vendors.
Essential Qualifications and Competencies
Secondary school education supplemented by office training or related courses.
Degree in business administration or related field is highly desirable.
Previous relevant work experience (minimum 3 years) in administrative, office management activities in an international organization or international context is desirable.
Demonstrated knowledge of standard office administrative practices and procedures
Excellent written and oral communication skills in English.
Working proficiency (spoken and written) in Italian, is an asset.
Proficient computer skills and in-depth knowledge of MS Office suite (Including Word, PowerPoint, Excel, Teams and SharePoint) and willingness to learn additional online meetings, communications, and visualization software, as required.
Proven ability to adapt to fast-paced environment.
Strong interpersonal, communications, and teamwork skills; discretion, tact, and the ability to establish and maintain effective working relationships with people from different cultural and national backgrounds.
Well-developed skills in personal organization, priority setting, problem-solving, and accuracy
