The role of the Senior Associate is to ensure the integrity and quality of financial management and reporting for the GGGI country programs in Fiji, Kiribati, and Tuvalu, and nominated Pacific regional project/s. This includes ensuring all project and program budgets are executed and monitored in line with GGGI policies and donor requirements. The position will focus on providing financial oversight, hands-on advice, support through troubleshooting, and capacity building to ensure that all financial documentation and reports are of the highest quality for internal use, external reporting, and audits.

Responsibilities:

  • Support the preparation of the annual budget, providing monthly forecast and expenditure monitoring for Fiji, Kiribati, Tuvalu, and selected Pacific regional projects; ensure that all charges are journaled to the correct project and output codes.
  • Complete corporate financial returns, such as monthly progress reports (including financial aspects, budget adjustment rounds during the year, and year-end pack returns, etc.).
  • Place initial screening and controls on country office spending, procurement requests, and contract issuance
  • Management of office expenses, assisting the manager with credit card reconciliation, and processing of tax payments.
  • Verify data and ensure data entry and document consistency from spending and expenses of specific project/output management.
  • Consolidate financial documentation for projects and perform comprehensive quality assurance reviews of financial reports prepared by the country office and FCS staff to ensure accuracy, compliance with GGGI's internal standards, and alignment with specific donor requirements.
  • Provide ongoing training and guidance to country office staff and FCS colleagues on GGGI's financial procedures, budget management best practices, and donor reporting standards.
  • Serve as the primary point of contact to reconcile financial data discrepancies between GGGI's internal systems and project records.
  • Collaborate with project managers to develop and implement improved financial processes and internal controls to enhance data integrity and reporting efficiency.
  • Lead the preparation of financial documentation and provide support during internal and external audits to ensure a smooth and successful review process.
  • Advise the team on the procedures, policies, and tools of all financial transactions for project/output delivery;
  • Identify issues and risks that will affect the consistent program and delivery, and report to the manager.
  • Identify budget and financial issues from across projects and workstreams, and advise project staff on remedial measures to maintain the integrity of delivery.
  • Assist the manager in communication with donors and governments regarding budget management, financial reporting, and audits.

Requirements:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Minimum of five (5) years of relevant experience in financial administration, procurement, logistics, or office management, preferably in an international organization, government agency, or donor-funded program.
  • Experience working in or with intergovernmental or multilateral organizations, donor-funded programs, and/or the public sector.
  • Experience in financial management and reporting of donor-funded projects is essential.
  • Additional certifications in procurement, financial management, or project administration are an asset.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and financial management systems.
