Under the supervision of the Finance Delegate, the Archivist participates in the activities of the Accounting and Finance department of the Cluster , he / she prepares, classifies and consolidates all accounting and financial documentation for the digital and physical archiving purposes of the Cluster in the Democratic Republic of Congo . With professionalism, courtesy and commitment, he/she ensures the satisfaction of staff, volunteers and any internal/external entity in the performance of his/her duties.

Job Duties and Responsibilities:

  • Prepare archival documents while refining their description to allow easy access to information,
  • Develop the layout and description of archival collections in accordance with IFRC accepted standards and practices,
  • Develop and implement procedures for the acquisition, processing, digitization and preservation of archival documents,
  • Ensure the consolidation of archives at the level of the Cluster office in the event that there are any in sub-delegation offices,
  • Develop and specifically maintain a digital platform to ensure real-time access to financial information based on demand,
  • Establish a log to record checkouts and recordings of all files or documents checked out by staff or auditors in the storage room,
  • Ensure that borrowed files or documents are returned to the archive storage room,
  • Help the office staff to identify the files to be eliminated according to the directives related to the conversation of the documents in force at the federation,
  • Serve as a focal point for all requests for documents during audits or financial controls,
  • Keep a log of all documents sent to auditors as well as feedback/observations on them,
  • Ensure the shipment of the physical archives to the Nairobi office according to a schedule agreed with the latter,
  • Support the national societies members of the Cluster as well as their local branches, according to their needs, in the development of archiving approaches or policies,
  • Actively work towards the objectives of the Federation Secretariat
  • Respect the principles of the Red Cross and Red Crescent
  • Perform any other work-related duties and responsibilities that may be assigned by supervisor

Education:

  • University degree in Accounting/Finance, Management IT, Economics and Management, or any other equivalent degree in Management/IT

Experience:

  • Experience of at least 3 years or more in Records Management, Finance, Administration or other similar fields
  • Knowledge, Skills and Languages
  • Ability to give and receive feedback
  • Computer skills (Windows, Excel, Word, PowerPoint, Data Administration, etc.)
  • Ability to communicate orally and in writing
  • Be flexible and adapt to changing work conditions
  • Ability to work independently (with minimal supervision)
  • Ability to prioritize and meet deadlines, pay attention to detail
  • Be able to work outside working hours if necessary
  • Good interpersonal attitude and ability to pay attention to others

Languages:

  • Ability to speak and write French and English fluently
  • Knowledge of local languages
