Job Description

The IFC HR function addresses IFC specific business needs with dedicated teams including Client Services and HR Programs. The Client Services Team offers customized and strategic HR partnership, support and solution to IFC. The Program Team oversees the design and supports the implementation of improved HR processes, practices, programs, and tools. Both teams work closely together to support client departments/VPU on their workforce strategies and people management matters through a delivery of HR products that meet the business needs of IFC. IFC also relies on support from World Bank Group (WBG) HR centers of expertise and shared services.

As part of the IFC HR Client Services team, we are seeking an HR Assistant to be based in Johannesburg, South Africa. The selected candidate will report to the HR Business Partner in Johannesburg and will provide support across the spectrum of HR duties for the regional clients in close collaboration with the Regional HR Team.

Duties and Accountabilities:

The HR Assistant is responsible for supporting IFC clients on the full range of HR matters, in close collaboration with the relevant HR Business Partner/s. Specifically, the key duties include the following:

Client Interface

  • stays abreast of HR rules, policies and procedures in order to provide support to regional clients;
  • handles HR inquiries ranging from basic to more complex issues; channels them to appropriate resources if necessary; follows up as necessary, plays substantive role in finding information and providing assistance to clients.
  • supports clients with MSS and other HR systems; generates basic reports for clients and HRBPs.
  • Stays tuned to and on top of the developments on all HR initiatives (WFB, D&I, Position management, etc.), participates in some for learning, contributes actively to the design of selected initiative(s).

Annual HR Process Management

  • contributes, supports and advises throughout the different cycles of HR processes and initiatives in alignment with staff rules and institutional values, including: talent reviews, staff surveys, performance evaluation reviews, 360s, SRI and promotions;
  • coordinates with HR operations the execution of recruitment, ending employment, re-entries, leave without pay, external service, etc.

HR and Administrative Support

  • provides HR and administrative support to clients and HR team in implementation through coordinating e.g. processes, data points, deadlines, meetings, follow-ups, resources, materials.

Selection Criteria

  • HR training and certification with a minimum of 5 years of entry level professional HR experience or equivalent combination of education and experience.
  • Familiarity with HR procedures and processes and a willingness to learn more.
  • Excellent interpersonal skills and high level of discretion in dealing with confidential information.
  • Effective time management and organizational skills.
  • High level of proficiency in office technology including Word, Excel, Powerpoint and Outlook, familiarity with Peoplesoft or other HR systems.
  • Ability to produce basic reporting.
  • High degree of initiative, reliability and resourcefulness.
  • Ability to handle and adjust to a variety of concurrent demands.
