The post is located in the Human Resources Operations Service, Human Resources Management Department. It is assigned to the work unit that administers benefits and entitlements, and manages time and absences, ensuring the delivery of efficient services within a culture of customer orientation.
The HR Assistant (Employee Benefits) processes staff requests for benefits and entitlements, and manages time and attendance, ensuring compliance with WIPO regulatory framework. S/he responds to queries from staff on their benefits and entitlements and on the applicable rules. S/he identifies issues and contributes to the enhancement of enterprise systems and IT tools related to the administration of benefits and entitlements, to increase efficiency, simplify processes and provide a positive overall employee experience.
The incumbent works under the supervision of the Senior Policy and Employee Benefits Specialist and/or the Employee Benefits Officer and/or another HR Assistant.
The incumbent works in close collaboration with other support staff in the HR Operations Service.
Duties and Responsibilities:
The incumbent will perform the following principal duties:
Process a wide range of benefits and entitlements (including dependency allowances, education grant, home leave, rental subsidy, etc.), ensuring consistency of approach and compliance with WIPO regulatory framework (notably the Staff Regulations and Rules and the HR Manual).
Monitor time and attendance, in particular sick leave, and process the required administrative transactions regarding all types of leave (sick, annual, parental, special, etc.) and absences, as well as overtime, in accordance with WIPO regulatory framework.
Respond to written and verbal queries from staff on their benefits and entitlements, time and attendance issues, and flexible working arrangements. Provide information on the applicable rules, policies, procedures and self-service processes, promoting a client service culture.
Prepare customized work certificates for employees upon request.
Regularly review, clean and validate data. Collect data, generate reports using the Organization's IT tools, and provide analysis and data-driven insight.
Identify issues with, and contribute to maximizing the use of, enterprise systems and IT tools, in order to increase efficiency and simplify processes and workflows related to the administration of benefits and entitlements. Participate in the review, evaluation and enhancement of such systems and tools. Suggest potential improvements and new functionalities.
Perform other related duties as required.
Requirements: Education Essential:
Graduate of a secondary, technical or vocational school.
A university degree or other qualifications in human resources management or another relevant field.
At least five years of relevant work experience in human resources management or a related field.
Experience in the administration of benefits and entitlements.
Customer service experience.
Experience working with an ERP system.
Relevant experience in an organization applying the UN common system of salaries and allowances, or another international organization.
Excellent written and spoken knowledge of English and good knowledge of French.
