The HR Executive will perform a wide range of support activities in the human resources function delivering timely, consistent and high-quality service and administration based on established processes, procedures and guidelines; support internal communication and engagement activities; and maintenance of updated and accurate data management in HR systems.

The successful candidate will:

  • Maintain the integrity, accuracy and confidentiality of human resources files across organization, inclusive of data, records and other documentation (hard copies and digital). Guide in-country HR focal points ensuring awareness of document/data retention procedures and best practices.
  • Responsible for HR document e-archiving to ensure documents are kept in systematic order and compliance with audit requirements, performing periodic audits of HR files and records to ensure all required documents and data are collected and filed accurately.
  • Support projects / statutory audits ensuring all necessary HR documents and information related to audit purposes are available and submitted within the time frame, assisting in the resolution of audit findings.
  • Act as a back-up payroll system administrator and accurately prepare monthly reports/template.
  • Coordinate with relevant personnel to update and maintain human resource related information across relevant platforms, organizational charts, staff lists, etc. Produce reports and draft personnel related communications and documents.
  • Responsible for weekly insurance medical claims reimbursement, report preparation, monthly Insurance Premium Payment and detailed breakdown submission to HQ Finance.
  • Support and follow-up on processes and procedures associated with employment lifecycle, which includes recruitment, onboarding, probation documentation, learning and development, salary and benefits administration, contract renewals, performance management process/forms and termination/staff disengagement.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits and processes, etc. ensuring prompt resolution, referring more complex questions to appropriate senior-level HR staff or management.
  • Assists with planning and execution of special events such as corporate team building activities, meetings, trainings, and employee recognition events.
  • Contribute to the implementation of the HR/People & Culture initiatives in support of WorldFish and CGIAR’s mission and vision.

Requirements

Desired Skills and Qualification

  • At least Diploma or Bachelor Degree in Human Resource Management /Social Science / Business Administration or equivalent.
  • Minimum 2 years’ experience in human resource and administration related activities.
  • Experience in HR administration and knowledgeable in local HR laws, management and administration.
  • Enthusiastic, independent, detail-minded, analytical, highly numerate and computer literate.
  • Trustworthy, high level of integrity and ability to keep confidential information.
  • Excellent interpersonal skills and able to work in a team-oriented multi-cultural environment.
  • Ability to deliver accurate and timely reports.
  • Proficiency in English both verbal and written.
  • Proficient in Microsoft Office applications.
