Job Description

Team Purpose

To ensure Oxfam has the management, technical and logistical capacity to scale up and respond rapidly to major humanitarian emergencies anywhere in the world

Job Purpose - Key Responsibilities and Accountabilities

To work within the Global Humanitarian Team, Administration Team to facilitate the deployment of staff to Oxfam’s Humanitarian Programme, by providing critical and efficient travel and accommodation logistics. To be the point of contact for all administration

Contribute to and maintain departmental systems and procedures to enhance the department’s services
Draw from a number of information sources to inform individual and group decisions
Solve complex problems which have some variety and take decisions based on specialist knowledge
Communicate widely within the department - ,Regional centres and Country offices and with external contacts
Being a member of a key team who’s overall responsibility is to provide crucial administration & travel logistics, particularly in emergencies when demand is high
Focal point for administration- including procurement of departmental resources and assets, support meetings and take minutes inc video conferencing, update organigrams.
Support small projects and research as requested
Support departmental events and meetings for core staff based in Oxford as well as some department staff based in Oxfam offices outside of the UK.
Act as the sole travel advisory and logistical service for UK based deployments and other deployments by the Global Humanitarian Team and support regional staff during emergencies as required (particularly Category 1)
Create robust relationships with internal and external colleagues keeping them informed of travel logistics and other relevant information within a time frame where arrangements are often/repeatedly changing
Actively promote Oxfam’s “Green Sky” policy, monitoring travel, making suggestions for cost savings and taking into account the environmental impact
Carry out departmental inductions for new starters and Humanitarian Support Personnel (HSPs)
Process invoices, requisitions and credit card payments in a timely fashion using relevant processes and paperwork
Basic budget decisions e.g. courier or visa charges
Keep accurate records
Deal with confidential information
Rota based team mobile phone requiring out of hours availability
