The incumbent will work under the direct supervision of the Team Leader, Customer Support Team and the overall supervision to the Chief, Service Delivery Officer in the office of the Chief, ITS.

Responsibilities:

  • Perform a wide range of office support and administrative functions. 
  • Assist in providing software and office equipment support. 
  • Provide guidance to users on office processes and procedures, computer applications, etc. 
  • Respond to moderately complex requests and inquiries by providing basic technical guidance  remotely to enable callers to solve problems.
  • As necessary, dispatch unresolved enquiries to ITS  colleagues for handling. 
  • Assist in the local and remote deployment of Windows OS updates and patches for the operating  system to end user desktop PCs. 
  • Review, record, distribute and/or process mail, support tickets and other documents; follow-up on  impending actions.
  • Performs tasks related to scheduled service requests, including equipment replacement, equipment  installation/de-installation, software installation, LAN connection, returns to stock, site surveys, etc.
  • Upgrade remaining users' storage disks to the latest solid-state technology.
  • Deploy the installed PCs and productivity devices to end user desks. 
  • Backup and restore user specific data. 
  •  Answer end user questions about new features of the newly deployed office tools.
  • Report any issues related to the deployment tasks to the support teams.
  • Support for inventory-related and conference tasks. 
  • May be required to lift, move, mount, or store equipment weighing up to 50 lbs, or up to 80 pieces of equipment on a daily basis.
  • May be required to work on shift assignments on weekdays to maintain the service coverage from  08:00 to 18:00. Occasionally, the incumbent may be required to work ad-hoc assignments during  evenings or early mornings of working days as well as holidays and weekends. 
  •  Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision  making. • Assist with visualizations and updating information material such as web pages or brochures.  • Perform other work-related duties as may be required.

Education:

High school diploma or equivalent is required.

Work Experience:

  • A minimum of 3 years of work experience in administrative and office  support functions preferably in a large organization is required.
  • The minimum number of  years of relevant experience is reduced to one (1) for candidates who possess a first level university degree or higher.   
  • Experience in general office automation software, local area networks, Office 365 and  Lotus Notes functionality is required.   
  • Work experience in delivering PC/laptop support Tier 1 services is required.   
  • Experience within the UN Secretariat, UN Common System or other international  organization is desirable.

Languages:

  • English and French are the working languages of the United Nations Secretariat.
