WE is seeking a Manager of Operations. This position is responsible for providing support to the Illinois office, as well as the Minnesota Director. A sophisticated level of professionalism, confidentiality and discretion is imperative for this role.

The position is based out of the Illinois office in Chicago.

Your Impacts:

Regional Operations:

Support of general office and administrative work, including but not limited to scheduling for principals and large team meetings, ordering of office supplies, monitoring of general office voicemail, and payment of all accounts
Ensure efficient follow up and follow through on securing meetings with VIP and funder stakeholders
Occasional logistics support, including liaising and ordering of products from headquarters
Facilities operations and management liaison, including managing of facilities relationship

People Operations:

Manage local Human Resources functions for the Illinois Office
Full cycle recruitment for Illinois Office; mentorship and retention of all local positions
Organization and support of staff reviews
In partnership with regional leadership, manage employee relations
Liaising with the Human Resources team and Training and Development team to implement training and on-boarding for all new local hires
Maintenance of employee files and databases
Development, implementation and monitoring of the consistent application of global human resources policies, procedures, practices and systems
Development and championing of strategies aimed at employee engagement


Financial reporting and reconciliation on a monthly and quarterly basis
Processing and management of expenses against approved budget
Liaising with WE’s accounting team based at Headquarters

Supporting Leadership Responsibilities:

Writing/ Correspondence:

Provide support on written communication and correspondence, as requested
Adhere to rapid response correspondence strategy to effectively reach challenging deadlines
Assist with follow-up from meetings and managing organizational projects
Use flexible writing techniques to adjust voice when corresponding with schools, youth, and corporate stakeholders alike, effectively following organizational key messaging

Administrative and Project Support:

Manage two calendars, effectively scheduling and coordinating appointments
Undertake a variety of administrative tasks as requested by Illinois and Minnesota Directors
Assist with special projects including, but not limited to, PowerPoint presentations, special events, and performing research on topics as directed
In working together with ME to WE Travel Manager, plan travel for the Illinois Director
Maintain Illinois and Minnesota Directors’ contact databases
Work proactively to anticipate scheduling conflicts, and facilitate alternatives
Assist the Illinois and Minnesota Directors with tasks that may arise before events, before travel, in preparation for meetings and conferences, WE Day, etc.
Manage all expense reports and reimbursements for the Illinois and Minnesota Directors
Manage incoming internal and external requests, while ensuring organizational priorities
Follow-up with internal team members to ensure that projects are complete
Perform other duties as directed, developed or assigned, with direction of leadership

What your bring:

Bachelor’s degree and/or equivalent experience
1-2 years related experience in office administration is an asset
Proficient in Microsoft Office Suite and online communication tools
Experience with SharePoint, Docusign, Salesforce, and Bamboo HR is an asset
Ability to diplomatically deal with difficult situations and people, while exhibiting a consistent level of professionalism
Able to multi-task competing priorities while remaining calm under pressure
Strong organizational skills, process-oriented with high attention to detail
Excellent oral and written communication skills
Ability to get along with and work cooperatively with others
Ability to work independently and exercise good judgment
Motivated self-started with a customer service orientation
