The central contribution of the HNP Global Practice to the World Bank’s twin goals is to enable the achievement of Universal Health Coverage (UHC), in which all people are effectively covered by essential health services, and nobody suffers undue financial hardship as a result of illnesses. In the quest for UHC, the HNP Global Practice is building on progress made in the framework of the Millennium Development Goals, an array of analytical and advisory services, strategic partnerships with partner institutions and other financing agencies, and an active lending portfolio. The HNP Global Practice includes staff members in Washington, DC and many country offices.

The HNP Global Practice is led by a Global Director, who has overall responsibility for the GP. The Global Director works closely with the Human Development Directors for each Region and with the regional Practice Managers and the Practice Manager of the Global Unit and the GFF Manager who collectively form the practice board. The day-to-day management of the HNP Global Unit is under the responsibility of the Practice Manager.

Duties and Accountabilities:

The selected candidate will be assigned to provide administrative support to the HHNDR Front Office team members as well as for tasks associated to the Unit’s overall work program. In addition to the front office support the successful candidate will support HHNGE team leads in the successful delivery of the work program.  He/she will report to the Global Director and will also coordinate his/her day-to-day work with the Senior Executive Assistant as well as the HHNGE office manager. The Program Assistant’s duties will include but are not limited to:

  • Developing and maintaining the master travel calendar (proposed and confirmed travel), assisting with travel arrangements for (TRs, flight, hotel booking, transportation, and SOE) preparing Global Director’s travel agenda and briefing book (background document and meeting schedule).
  • Backing-up in assisting the Global Director in the absence of the Senior Executive Assistant and providing back-up/cross-support to colleagues in the Front Office during absences or peak periods as needed.
  • Providing administrative support to HHNDR FO and technical teams in the HNP Global Unit on STC and Firm contracting (Admin Portal and e-Procurement) and budget and portfolio monitoring. This also includes helping with travel planning/arrangements with TRs and SOEs submission for STCs and supporting processing requests for payments to individual consultants and firms.
  • Organizing various events, e.g. conferences, workshops, meetings, missions, etc., including preparing invitations, handling RSVPs, coordinating logistics with partner partners and liaising with Resource Management team for compliance with Bank policies. Act as a focal point for liaising with external venues for events.
  • Coordinating schedules taking priorities into account, monitoring changes, and communicating the information to appropriate staff, inside and outside the immediate work unit including officials outside the World Bank Group.
  • Tracking briefing preparations and help set up systems to improve the efficiency.
  • Assisting with the Front Office staff and Global Unit in general office support such as reserving meeting rooms, arranging catering services, AV equipment, video and tele-conferencing coordination, calendaring, printing, photocopying, and phone coverage.
  • Independently responding to extensive and diverse external/internal inquiries and general requests in a timely and professional manner, by drafting and formatting standard and routine correspondence using Proper Bank standards.
  • Solving non-routine problems, with limited guidance.
  • Performing other ad-hoc duties as required.

Selection Criteria:

  • Bachelor’s degree and at least five years of relevant experience in administrative and executive functions or comparable combined education and experience. Proficiency in English (verbal and written) and effective time management and organizational skills.
  • Knowledge of and ability to executive business processes involving diverse and work procedures related to the processing and production of assigned outputs in a timely manner.
  • The selected candidate may be required to work flexible hours.
  • Ability to retrieve reference materials from various sources (e.g. databases or other filing systems, Internet, etc.).
  • Ability to handle sensitive and confidential information with utmost discretion.
  • Committed, self-motivated team player with good inter-personal skills, and ability to work effectively in a multi-cultural environment.
  • Ability to produce high-quality work under pressure.
  • Proficiency in using advanced functions on Bank standard computer applications (Windows applications: Word, Excel, and PowerPoint).
  • Knowledge of and ability to execute diverse work procedures related to the timely processing and production of assigned outputs and supporting administrative activities.
  • Demonstrates knowledge and experience working with Microsoft office applications (Excel, PowerPoint, Word, etc.). Has ability and willingness to maintain up-to-date knowledge and skills as technology and workflow change.
