This position is located in the Global Integrated (e) Learning and innovation Programme, Crime Prevention and Criminal Justice Section (CPCJS), Division for Treaty Affairs (DTA), United Nations Office on Drugs and Crime (UNODC) in Vienna. The Programme Assistant will work under the direct supervision of the Programme Officer of the Integrated (e) Learning and innovation Programme.   

Responsibilities:

  • Provide administrative support to the programme coordination/project implementation activities of the Integrated (e) Learning and innovation Programme (GLOU61), which includes liaising with diverse organisational units to initiate requests, obtaining necessary clearances, processing and following-up on administrative actions, such as, recruitment and appointment of staff and personnel (consultants, individual contractors and United Nations Volunteers (UNVs)), assisting with travel arrangements for staff, personnel and meeting participants, related payment authorisations, disbursement of funds, procurement of equipment and services, etc
  • Compile, summarize, and present financial and administrative information/data.
  • Review budget revisions; verify availability of funds; ensure necessary approval and entry in computerized budget system
  • Research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
  • Generate a variety of standard statistical and other reports, work orders, etc., using various databases.
  • Provide secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc.
  • Assist in the preparation of presentation materials using appropriate technology/software.
  • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
  • Assist with visualizations and updating information material such as web pages or brochures. 
  •  Perform a wide range of office support and general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).
  • Perform other work-related duties as assigned.

Education:

High school diploma or equivalent is required.

Work Experience:

  • A minimum of five (5) years of working experience in general office support, administrative services, programme/project administration, technical cooperation support or related area is required.
  • The minimum years of relevant experience is reduced to three (3) for candidates who possess a first level university degree or higher.   
  • Previous work experience using an Enterprise Resources Planning system (ERP) is required.   
  • Working experience with an SAP platform, such as Umoja, including the Integrated Planning Management and reporting system (IPMR) and Service Orders, is desirable.   
  • Experience within the United Nations system and/or a similar international Organization is desirable.

Languages:

  • English and French are the working languages of the United Nations Secretariat.
  • For the post advertised, fluency in English is required.
  • Knowledge of another United Nations official language is an advantage.
