The Office of Innovation (OoI) works to catalyze UNICEF's and all its partners’ expertise and resources to overcome bottlenecks in our outcomes for children, with a view to continuously ideate and scale the most effective solutions with transformational potential at scale to achieve the child-related Sustainable Development Goals (SDG).

Aligned with a range of partners, OOI is doing this by investing across a range of early-stage innovative solutions, harnessing internal and external innovation expertise towards continuously iterating, delivering and finetuning the most promising solutions for children, and leveraging the innovation energy, know how, and resources from a range of public and private stakeholders.

How can you make a difference?

Under the supervision of Senior Advisor Innovations, who leads the Partnerships and Communications team (P&C), the Partnerships Associate is accountable for leading operations and administrative support services and functions to enhance the smooth running of the P&C team, as well as supporting select partnerships and communications initiatives.

Summary of key functions/accountabilities:

Operations Support, including budget and procurement:

  • Provides support on budget preparation/revision, implementation/expenditure status, and determination of funding utilization/closure, ensuring compliance with UNICEF rules and regulations including keeping the supervisor informed and advised on actions for decision.
  • Carries out transactions in UNICEF budget system (VISION) pertaining to funding for his/her team such as registering grant allotments, tracking programme grants, etc.
  • Facilitate the processing of service contracts for individual and institutional consultants. This includes preparing and filing Terms of Reference (TOR) documents, completing necessary forms and templates, uploading in VISION, and making necessary arrangements for payments.
  • Maintains and updates a system which monitors the absence and response of the P&C team including keeping the supervisor informed and advised on actions for decision.
  • Guide managers in the process of partnership agreements (e.g., PCA) in line with the policies and guidance issued by UNICEF (e.g., FRG, SD and DHR business units).
  • Develop and coordinate a database of external contacts for the P&C team.
  • Coordinate an internal repository of P&C team deliverables, including communications assets and partnership documentation.
  • Develop an internal OOI P&C monthly deliverable brief, for sharing updates with all OOI and other UNICEF business units (e.g., PPD, PFP, GCA and OED).
  • Support the P&C team activities and attendance for official trips by making the logistical arrangements and preparing briefing materials.

Administrative Support:

  • Develop and maintain a P&C team calendar.
  • Co-ordinate P&C team meeting and agenda setting.
  • Organize official travel on behalf of P&C team.
  • Supports management of supplies, office equipment, and updating the inventory of items.
  • Maintain up-to-date vendor lists, partners, and consultant rosters.

To qualify as an advocate for every child you will have…

Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization.

Experience: A minimum of six years of administrative or clerical work experience is required. Prior experience in programme support functions is an asset. Relevant experience in a UN system agency or organization is considered as an asset.

Language Requirements: Fluency in English is required. Fluency in Swedish is an advantage. Knowledge of another official UN language is considered as an asset.
