Job Description

Chemonics’ seeks a project management associate to join the Latin America and the Caribbean Division (LAC). The associate will have the opportunity to contribute to the success of a dynamic regional business unit with 13 projects, one IQC, and an exciting forward market. S/he will support LAC’s projects, coordinating between the home and field offices to support project administration, implementation, and communication. Responsibilities include:

  • Respond to questions from home and field offices regarding Chemonics and client policies and regulations
  • Liaise directly with the grants, procurement, core compliance, and other relevant support departments to ensure project compliance with rules, regulations, and corporate policy
  • Review project deliverables and reports for completeness and provides comments and technical input
  • Draft and complete project approval requests
  • Participate and serve as mentor on proposal teams in specific line roles
  • Lead monthly financial cycle tasks, including monthly local expenses package, budget reforecasting and reporting, and project office wire transfers
  • Draft and analyze subcontractor invoices and backup documentation
  • Draft subcontracts and subcontractor modifications; liaise closely with subcontractors on administrative and invoicing tasks and contractual management issues
  • Complete data entry of monthly project invoicing, subcontractor and consultant information, expense reports, and other types of data as requested
  • Provide travel support for project employees and consultants
  • Draft and post project recruitment advertisements and scopes of work, tracks applicant resumes, schedules and conducts phone screens, collect biodatas and backup documentation, collect and conduct reference checks, make recommendations for interviews, and maintain recruitment files
  • Draft and submit employment agreements, collect necessary backup documentation, and submits PIN requests and other required forms to Human Resources
  • Facilitate repatriation of employees and consultants
  • Schedule and lead meetings as appropriate, prepare meeting agendas, capture and share notes, and track project communications.
  • Maintain paper and electronic files for the project in the home office
  • Contribute to technical practice(s) as appropriate
  • Serve as acting PMU manager as necessary
  • Contributes to technical practice(s) as appropriate

Qualifications include:

  • Bachelor’s degree or equivalent work experience; Master’s degree preferred
  • Minimum two years of relevant administrative or professional work experience, including one year of contractual, project management, or related experience
  • Demonstrated ability to communicate clearly and concisely in both verbal and written communications; strong cross-culture communication and sensitivity skills
  • Demonstrated ability to handle routine administrative tasks and operational issue
  • Strong attention to detail, organization, and time management with minimum oversight
  • Demonstrated ability to follow standard practices and procedures, receive general instruction and supervision, and contribute to projects and initiatives
  • Demonstrated ability to mentor others
  • Excellent customer service and interpersonal skills
  • Ability to work independently and as part of a team
  • Demonstrated resourcefulness in problem solving and initiative to learn new skills
  • Strong knowledge of MS Office applications
  • Previous experience working in international development and/or living or conducting volunteer work in developing countries preferred
  • Previous experience working on issues related to environment and natural resources preferred
  • Willingness to travel and work abroad in less developed countries for at least 4 to 8 weeks per year.
  • Professional proficiency in Spanish required
