The purpose of this assignment is to ensure the effective planning, coordination, and implementation of UNHCR’s Data Innovation Project on informed consent. The Project Management Associate will be responsible for managing day-to-day project activities, ensuring timely delivery of outputs, and facilitating collaboration across teams and stakeholders. Under the supervision of the Associate Spanish Web Editor and in coordination with the Data Innovation Team, the incumbent will: 

Responsibilities:

  • Consolidate findings and prepare analytical and progress reports summarizing key insights and recommendations. 
  • Facilitate working sessions and co-creation workshops to guide the design of the solution’s features, ensuring a user-centered and AGD-sensitive approach. 
  • Identify, assess, and liaise with potential suppliers or service providers for the development of the solution, and support the contracting process in collaboration with relevant UNHCR units. 
  • Manage the relationship with the selected vendor throughout the development and testing phases, ensuring compliance with technical and protection standards. 
  • Coordinate and participate in a field visit for user testing to ensure inclusivity and accessibility of the developed solution. 
  • Prepare progress updates, presentations, and briefing materials for internal and external stakeholders, showcasing project developments and outcomes.
  • Performance will be evaluated based on the timely completion and quality of outputs, adherence to project timelines, and effective coordination with internal and external stakeholders. 
  • Workplan and coordination: Development and approval of a detailed implementation plan within the first two weeks of the assignment. Lead weekly progress calls with the multifunctional project team to ensure alignment and timely execution. 
  • Research phase: Delivery of summary reports for each component of the research phase—literature review, market analysis, and user consultations—consolidated into a comprehensive research summary. 
  • Design phase: Facilitation co-creation workshops and submission of a finalized feature design document reflecting user and stakeholder input. 
  • Development phase: Preparation of Terms of Reference (TORs), identification and onboarding of the service provider for solution development, and oversight of the implementation process. 
  • Testing phase: Coordination of user testing, including the organization and execution of field visits to two UNHCR operating contexts to ensure inclusivity and accessibility. Consolidate findings in summary report. 
  • Communications: Production of communication and visibility materials about the project, as well as information products such as user and training guides. 
  • Final report: Submission of a comprehensive final report detailing progress, results, lessons learned, and recommendations for potential scale-up or replication.

Requirements:

  • Bachelor’s degree in project management, Social Sciences, Communication, Information Technology, or a related field. 
  • Minimum of 3 years of progressively responsible experience in project management, including planning, coordination, and monitoring of multi-stakeholder projects. 
  • Proven experience in stakeholder management, including coordination with internal teams, consultants, and external service providers. 
  • Experience in preparing project documentation such as workplans, TORs, technical specifications, and reports.
