How Can You Make a Difference?

Under the supervision of the Quality Assurance Specialist, the QA Assistant is expected to ensure timely reporting of The Global Vendor Review Committee’s recommendation to the Director of Supply Division for approval and dissemination of the same to the relevant Centre/UNICEF office. The QA Assistant is also expected to provide guidance and assistance to UNICEF offices in preparing submissions and maintaining an up to date repository of the submissions and exhibits.

The QA Assistant will be responsible for coordination with UNICEF offices on vendor’s proscribed practices related issues, obtaining submissions, setting up meetings and managing confidential records and documentation.

MAIN DUTIES/RESPONSIBILITIES:

  • Managing a repository of confidential documentation regarding vendors proscribed practices mainly submissions, minutes, exhibits, etc. on behalf of the Secretary of the Committee.
  • Coordinating with and guiding UNICEF Offices on preparation of submissions and other case-supporting documentations. The QA Assistant will also liaise with the relevant UNICEF offices to provide outcome of review of cases by the Committee and any other follow up information needed.
  • Taking note of proceedings of the Committee meetings and circulating the minutes for approval and signature.
  • Maintaining an up to date database of the Committee sittings, cases and approved recommendations including tracking and follow up to agreed action points.
  • Tracking of approved Committee recommendations and sending reminders to relevant staff/UNICEF offices for action.
  • Generating periodic reports of the Committee sittings, cases reviewed and approved recommendations.
  • Liaising with GSSC to apply and lift blocks and add comments on vendor records in Vendor Master in SAP depending on the outcome of the Committee meetings.
  • Acting as a financial/ethical vendor evaluation backup.
  • Any other responsibility as may be assigned by the supervisor.

Required:

  • Completion of secondary education (i.e. high school diploma) is a minimum requirement
  • At least 5 years of relevant experience
  • Proficiency in Microsoft Word and Excel
  • Fluency in English

Desirable:

  • University level courses in administration/accounting is desirable
  • Proficiency in additional UN Language (Arabic, Chinese, French, Russian, Spanish)
  • Previous hands-on experience in planning, organizing, coordinating and delivering administrative support services is highly desirable
