 Background, Scope & Requirement

The Programme and Excellence Team plays a central role in helping our 6 thematic areas (Areas of Global Distinctiveness) provide curated, well accessible and useful information to support the programming and influencing work. We are currently planning to re-design and restructure much of our programming related content and are looking for a creative and skilled Sharepoint designer / content manager to help with this effort. The main focus of the work will be on the design and creation of sites and pages to allow better and more coherent access to relevant information, make pages more interactive and systematically integrate multi-media content that is stored on other systems that we use in the organisation. We will also look at re-structuring and re-organising libraries to help with the overall accessibility of the content.

  • Plan are seeking a skilled Sharepoint Designer/ Content Manager who;
  • Can support with creative design solutions;
  • Is quick at setting up sites, pages and libraries that are easy to navigate and maintain;

Has a strong background in managing documents and content in Sharepoint, including setting up information architecture, navigation etc.;

Considers from the start required SEO related elements and strategies for all content.

Deliverables:

Anticipated Activities / Deliverables:

Under the direction of the Knowledge Management Adviser provide:

  •  Support to the design and set-up and moving of SharePoint pages and libraries based on agreed wireframes and requirements.
  •  Provide advice on design solutions for pages and libraries based on best practice an industry standards.
  •  Support to integrating libraries and content from various locations inside and outside SharePoint based on agreed schedules.
  •  Ad hoc support to the editing of videos, pictures, documents and other multi-media content.

2.1 Required Skills, Experience & Knowledge

  •  Strong and demonstrated experience setting up Sharepoint sites and pages as well as designing and setting up document storage in Sharepoint.
  •  Demonstrated experience in creating and managing development of employee-facing content and its management including working with SEO, metadata, libraries etc.
  •  Experience managing and editing documents, presentations and multi-media content across various repositories.
  •  Requires attention to detail, solution-oriented approach and ability to prioritise in fast-past environment.
  •  Experience working with Microsoft Office 365, Sharepoint, Workplace, Adobe Creative Suite, Ubicast etc.
  •  Fluent in English, and working knowledge of French and Spanish preferred.

Desirable experience:

  •  Experience working in aid-funded development projects or organisations ideally in the areas of gender, inclusion, economic empowerment, health, education, youth engagement etc.

2. List of documents to be submitted with the RFQ

  • RFQ must be inclusive of the following documents:
  • C.V highlighting relevant experience and qualifications.
  • Examples of work done
  • References
  • Cost proposal, including daily rate for 30 working days (to be negotiated)
  • Submission of offers

The offer must be sent via email to Procurement@plan-international.org

Offers must be received before the deadline specified in the “Request for Quotations”

Pricing for services should state whether they are fixed or non-fixed.

4. Evaluation of offers

Shortlisted suppliers may be invited to discuss their proposals in more detail at Plan’s discretion.

Plan International, at its sole discretion, will select the successful RFQ.

Plan international shall be free to:

  •  Accept the whole, or part only, of any submission
  •  Accept none of the proposals
  •  Republish this Request for Quotations

Plan International may award multiple contracts and all contracts will be non-exclusive.

Plan International reserves the right to keep confidential the circumstances that have been considered for the selection of the offers.

Part of the evaluation process may include a presentation from the supplier and a site visit by Plan International staff, to offices.

Value for money is very important to Plan International, as every additional € saved is money that we can use on our humanitarian and development work throughout the world.

Plan International may award multiple contracts and all contracts will be non-exclusive. 

5. Contract Payment terms

  • Please note that, if successful, Plan International’s standard terms of payment are 30 days after the end of the month of receipt of invoice, or after acceptance of the Goods/Services/Works, if later.

6. Plan International’s Ethical & Environmental Statement

  • The supplier should establish environmental standards and good practices that follow the principles of ISO 14001 Environmental Management Systems, and in particular to ensure compliance with environmental legislation

7. Clarifications

  • The onus is on the invited companies to ensure that its offer is complete and meets Plan International’s requirements. Failure to comply may lead to the offer being rejected. Please therefore ensure that you read this document carefully and answer fully all questions asked.
