Under the direct supervision of UNICEF Ethiopia Representative, the Senior Executive Associate will be accountable for procedural communications, operations, and administrative support services, as well as specialized administrative functions, to enhance the smooth running of the Representative’s day-to day activities, as well as the smooth operation of Front Office.

Summary of Key Functions and Accountabilities:

Communications Support:

  • On behalf of the Representative, manage incoming and outgoing correspondence, e-mails and telephone calls.
  • Communicate sensitive information to the Representative and senior management team in a confidential manner.
  • Research necessary background information and maintain follow up system and timely attend requests made by the Representative.
  • Provide routine information pertaining to the work of front office and mange the upward and downward flow of information.
  • Draft responses to written inquiries on routine questions and facilitate approval by the Representative.
  • Coordinate responses to sensitive inquiries and maintain integrity and confidentiality.
  • Follow up on established deadlines and ensuring timely submissions by staff of reports, correspondence, and other documents.

Operational Support:

  • Maintain and manage the Representative’s calendar, arrange, sort and prioritize meetings/events, advise on conflicting events and carry out multiple re-scheduling as necessary.
  • Receive high ranking visitors in relation with the Representative’s office and assure front office standard is maintained.
  • Organize official travel on behalf of the Representative and the team in Front Office.
  • Preparing briefing materials for official trips or meetings of the Representative.
  • Prepare documentation for the Representative’s signature reviewing for letter etiquette, style plus factual and grammatical accuracy.

To qualify as an advocate for every child you will have…

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
  • A minimum of 6 years’ experience of relevant administrative or executive work experience is required
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local
