The Planning, Resources and Information Unit (PRI), is mainly in charge of the communication, organisation, administration, management, planning and procurement of resources for the Finance Directorate (FI).

As a Principal/Senior Operational Assistant HR (internally referred to as Principal/Senior Operational Assistant), you will provide support to the FI Management and colleagues across the Directorate by performing the administrative work related to HR matters within FI in order to ensure an efficient and effective service. A key focus of this role will be to ensure all recruitment related matters are seamlessly coordinated.

You will join a dynamic and collaborative Unit comprising of 8 members. This is a unique opportunity for an experienced assistant with a keen interest in the HR field in a role providing direct exposure to senior management within the Finance Directorate.

To be successful in this role, you will be a team player with the ability to deal with a number of diverse priorities at the same time within tight deadlines, while ensuring diplomacy, high level of integrity and discretion in handling confidential information.

Operating Network:

The Principal/Senior Operational Assistant HR reports to the Head of Unit PRI and facilitates the support and organisational HR activities always in consultation with their superiors. You will work in close contact with colleagues within the FI Directorate, Personnel colleagues and other coordination colleagues.

Accountabilities:

  • Providing support for FI HR Coordination
  • Support FI’s HR activities regarding process excellence and implementation of the Operating Model agreed between FI and Personnel by providing reliable reporting
  • Execute a wide range of operational and administrative duties ensuring an efficient functioning of FI Staffing
  • Assist with the implementation of “Personnel Policies & Processes”
  • Assist, track and coordinate numerous HR tasks, deadlines and objectives
  • Coordination of recruitment activities (including leavers, joiners, transfers)
  • Data input, verification and reporting
  • Preparation of various templates relating to FI activities and staffing matters
  • Coordination of notes for signatures (e.g. transfers, internal mobility cases)
  • Assist with requests and questions on-line, liaising as and when necessary with other relevant services in the Bank
  • Track FTE and position management

Qualifications:

  • Certified secondary-level education. Certificate/diploma of complementary secretarial or administrative studies (at least 2 years) would be an advantage
  • At least 5 years of relevant professional experience. Experience in a similar role in Human Resources would be an advantage.
  • Practical experience in HR administration
  • Good organisational skills, resilience and conscientiousness
  • Excellent knowledge of English with ideally a good knowledge of French. Knowledge of another EU language(s) would be an advantage.
